Position Description
Under the supervision of the NAMI Executive Director, the Operations Manager (OM) works to advance NAMI Dane County’s mission of providing advocacy, education and support. The OM will be a key part of the organization and help to implement the vision of the Executive Director and Leadership Team, as directed by the Board of Directors. The OM will oversee the day-to-day operations of the organization, including management of the office, human resources, and grants, including analysis and improvement of organizational processes to improve quality, productivity and efficiency.
Responsibilities
● Help manage recruitment, hiring and orientation of employees and volunteers
● Database management – use NAMI National software, manage memberships, and utilize internal software to manage individual and sponsor donations.
● Together with the Executive Director, create and maintain donor recognition and communications program.
● Manage confidential and financial information by opening mail with Office Coordinator, verify bank deposits, supervise donor database input and maintenance.
● Ensure all legal and regulatory documents are filed and monitor compliance.
● Work closely with the accounting firm to ensure timely and accurate monthly financial reporting.
● Prepare analysis of budget and prior year comparison to current operating results for the Executive Director and Finance Committee.
● Attend Finance Committee meetings and present financial reporting.
● Work with the audit firm for timely completion of year end audit and 990 preparation.
● Facilities management – responsible for getting estimates and scheduling all maintenance and repairs for building; keep building documents up to date; IT and phone support; office supplies.
● Represent NAMI Dane County at various community, corporate and NAMI events, prepare mailing lists for newsletter mailing and End of Year appeal, handle many public relations details.
● Serve as support for NAMIWalks and annual Gala - assist in details of event planning and execution.
● Other duties as assigned.
Required Skills
● Minimum of Bachelor’s Degree in a related area and 2+ years professional experience in a non-profit position
● Strong organizational skills
● Experience with Excel, Word, Zoom, Microsoft Teams, Google Workspace, and Quickbooks Online
● Strong verbal and written communication skills
● Experience with database management systems
● Experience with office management of physical facilities, staff and day-to-day operations
● Leadership skills to help grow the organization and support all employees
Preferred Skills
● Experience working with financial and office accounting.
● Knowledge and training to provide support calls to those living with a mental illness and their families
● Prior experience working with non-profit organizations
