Academic Program Specialist – College of Science, Technology, Engineering, and Math (STEM)

LOCATION: Green Bay

STANDARD HOURS: 37.5 hours per week. Monday - Thursday: 7:30 a.m. to 6:00 p.m.; Friday: 7:30 a.m. to 4:00 p.m. Flexibility required to include other evening and/or weekend hours, as necessary.

STARTING PAY RANGE: $22.90 - $24.69 per hour

*Salaries/Wages for all finalists (internal and external) will be placed within the range based upon education, experiences, current wages, and internal equity.

 

POSITION SUMMARY 

Support the Academic Affairs & Workforce Development department, college, and student community. Manage the year round scheduling process including curriculum content changes. Ensure compliance with various applicable federal, state, and accreditation requirements by maintaining and/or submitting accurate confidential records per state or applicable organization guidelines. Serve as first contact to community partners for specific courses, programs, and events.

 

ESSENTIAL FUNCTIONS 

Support all departmental credentials, course offerings and students districtwide. Responsibilities include entering classes/course sections, districtwide, scheduling rooms, maintaining curriculum and course fees, and updating/monitoring/distributing course materials and equipment. Organize assignments of department faculty and generate pay agreements in accordance with workload requirements, payroll policies, and faculty qualifications. Update, monitor, distribute course materials and equipment. Communicate class changes with applicable staff, faculty, and students.  Submit student completion status per regulatory guidelines.  

Organize, analyze, and evaluate class schedules districtwide and across multiple delivery systems to ensure utilization of budget dollars, faculty workload, enrollment capacity, waitlists, and section size in support of the college’s student success and retention initiatives.

Communicate with the college community, outside agencies, state entities, advisory members, and accrediting institutions regarding certification, licensure, compliance, and records while adhering to the appropriate guidelines as outlined by governing agencies. Student outreach to ensure student needs are met.

Coordinate meetings, events, and travel arrangements, (i.e. airfare, lodging, and transportation); process expense reports to ensure alignment with institutional policies and budget alignment.

Analyze and advance student admission/enrollment data in the appropriate program/courses. Advise and communicate with the students on necessary requirements to strengthen their success and retention. Maintain student files and attendance. Provide student outreach to ensure students are prepared for clinical placements by meeting clinical site requirements such as immunizations, drug screening, CPR certification, and background checks.

Collaborate, compose, and communicate updates to team operating procedures. Coach faculty, students, and/or staff regarding usage of NWTC software systems and applicable college procedures.

In collaboration with Marketing, design and deploy marketing materials and outreach opportunities (NWTC website, state-wide resource sites, social media, student campaigns, etc.).

Serve in a cross-functional capacity to assist and support various team(s) within the department and college community. Deliver exceptional customer-focused service to all department visitors.

Monitor grants and specialty classes such as dual-credit contracts, continuing education, and professional development course sections. This includes budget monitoring, application, evaluating and analyzing the funding criteria to maintain proper compliance. Track reporting for state, federal, or other accrediting bodies.  
 

MINIMUM QUALIFICATIONS AND WORK EXPERIENCE

  • Associate's Degree in Business, Education, or related field
  • Minimum three years related experience
  • Microsoft Office Suite, Microsoft Teams, data and learning management systems (Workday, Canvas preferred).
  • Proficient keyboarding abilities.
